Overload Guidelines

Criteria

  1. Employee must be working 100% time.
  2. Project is not part of regular duties.
  3. Overload is for a specific time period and certain amount of money.
  4. Request must be submitted in advance of overload period.
  5. Period of time is arranged so that it does not interfere with employee's regular duties.
  6. Individual has permission of supervisor to work on an overload basis.

Procedures

  1. Requests for paid participation by faculty, staff, and graduate assistants in non-credit and administrative activities should be approved by the Dean of the respective college in accordance with the college's mission, the department's strategic plan, and the need to balance each person's workload. The requests for Non-Exempt or Exemmpt-Classified employeees must also be routed from the Dean's office to the Director of University Human Resources for approval.

    Each college must maintain the accurate records of participation in non-credit and administrative activities. The University must be able to respond quickly and accurately to requests both internal and external for information about workload, compensation and other related matters

  2. Submit requests in advance for credit instruction and route through the Dean for endorsement and through Academic Affairs for approval for faculty, staff, and graduate assistants. Normally, the Division of Academic Affairs limits overloads to two per calendar year for credit instruction.

  3. All requests should include:
    1. Statement of overload project (If the overload is for teaching a course, list course name and number.);
    2. Specific beginning and end date of project;
    3. Amount of compensation to be received;
    4. Following statements must be included:
      "Overload is not part of Mr./Mrs./Dr.'s regular duties. The project will be arranged at times that don't interfere with his/her regular duties. The arrangement has the permission of his/her supervisor."
    5. Signature endorsement from: requester, supervisor, chair, and Dean.
